Example
A sample campaign, start to finish
Say an agency is building links to a client's project management software guide. Here is a broken link campaign.
The list
In an SEO tool the team finds pages linking to a competitor's guide that now returns 404, exports 240 linking pages with contact emails found in an email finder, and imports them. Pink Post dedupes them against the client blocklist and verifies the emails.
The pitch
From the broken link playbook: point out the dead link on their page, name the page it was on, and offer the client's up-to-date guide as a replacement. Placeholders fill in the linking page and the dead URL from custom fields.
The sending
The campaign runs across five mailboxes on related domains. Rotation sends each new email from the mailbox with the most room left that day; follow-ups stay with the original mailbox and thread.
The deals
Positive replies move to Replied, then Deal done when the link is swapped. Any editor who asks for a fee is labelled negotiating so the account manager can decide.
The report
At month end the team exports deals with prices and live links, so the client sees links won, cost per link and which links are still live.

Link building outreach email example
Subject: Broken link on your {page_title} page
Hi {first_name|there},
While reading {page_title} I noticed the link to
{dead_url} returns a 404.
We keep an up-to-date guide on the same topic: {our_url}.
It could be a working replacement for your readers.
Thanks,
{sender_name}It names the exact page, explains the problem in one line, offers a fix and asks for nothing else. That structure works for most link building pitches.
Link building outreach strategy
Pick one play per campaign so the pitch can be specific. Start with plays that give the editor something (a fixed broken link, a better resource), then scale with guest posts. Qualify every site before it goes into a campaign: real organic traffic, on-topic content and no "write for us, any niche" pages.
Agency or in-house?
A link building outreach agency brings existing relationships and does the work; in-house outreach keeps control and costs less per link once the process runs. Pink Post supports both: agencies get 30 mailboxes and 10 seats on Agency, in-house teams usually fit on Solo or Pro.
FAQ
Questions, answered
What is link building outreach?
Contacting site owners and editors to earn backlinks, through guest posts, link insertions, broken link replacements and other pitches.
What is link building outreach management?
Running outreach as a repeatable process: one list of qualified prospects, campaigns per play or client, a shared inbox, deals with prices and a record of which links are still live. Pink Post is built to be that system.
Which playbook should I start with?
Broken link and resource page pitches offer clear value; guest posts scale best.
How many emails a day is safe?
Around 30 per mailbox, with warm-up for new mailboxes; Pink Post defaults to that.
